1. Who we are

Professional Drafter is operated by Moneli Automation Inc., a company incorporated federally in Canada and based in Kitchener, Ontario. Moneli Automation Inc. is the organisation responsible for the personal information described in this policy.

This policy explains what we collect when you use the service, why, who else handles it, and what you can ask us to do about it.

2. What we collect

Information you give us

  • Account details — your name, email address and password. Passwords are stored only as a one-way hash; we cannot read them.
  • Profile settings — your timezone, profession, the kinds of reports you tell us you are interested in, and your report formatting preferences.
  • The content you draft with — dictated audio recordings, typed notes, documents you upload, the transcripts produced from your audio, and the reports generated from them.
  • Intake form responses, if you use the intake feature to collect information from your own clients.
  • Messages you send us through the contact form or by email.

Information collected automatically

  • How you found us — the referring site, campaign parameters and landing page from your first visit, kept so we know which sources bring people to the service.
  • Usage and diagnostics — pages requested, errors encountered, and records of when reports were generated (used to apply your monthly allowance).
  • Analytics — see section 9.

Information from payment

If you subscribe, Stripe processes your payment. We never see or store your card number. We store only Stripe's customer and subscription identifiers, your plan, and its renewal date.

3. How we use it

  • To provide the service — transcribing your audio, generating drafts, storing your templates and reports.
  • To operate your account, sign you in, and apply your plan's monthly report allowance.
  • To take payment and manage subscriptions.
  • To send service email — password resets, verification codes, billing notices and occasional product updates.
  • To diagnose faults and improve reliability.
  • To understand which sources bring people to the service.

We do not sell your personal information, and your content is not used to train AI models. Our AI providers are engaged to process your content on our instructions and return a result.

4. Who else processes it

Running this service means other companies handle some of your data on our behalf. These are all of them:

OpenRouter Routes your content to AI models: the text of your notes and documents for report generation, and your dictated audio for transcription.
Google The AI model used for transcription is Google's, reached through OpenRouter. Google also provides optional sign-in and our website analytics.
Zoho Sends our email. Handles your email address and the contents of those messages.
Stripe Payment processing and card details.
Worth being clear about: when you dictate a report or generate a draft, that audio and text leave our servers and are processed by OpenRouter and the AI provider it routes to. If your work is confidential, consider what you put into it.

We may also disclose information if we are legally required to, or to protect our rights, users or the security of the service.

5. Where it is processed

Although Moneli Automation Inc. is a Canadian company, the service runs on servers in the United States (Amazon Web Services, US East region). Our AI and email providers may process data in the United States or elsewhere.

This means your information may be stored or processed outside Canada, and may be accessible to foreign courts, law enforcement and government authorities under the laws of those countries. By using the service you acknowledge this transfer.

6. How long we keep it

  • Your account and content — kept while your account is open. If you cancel, we keep your reports, transcripts and recordings for 90 days so you can return or export them, then delete them.
  • If you ask us to delete your account — we delete your content within 30 days, except where we must keep records by law.
  • Billing records — kept for 7 years, as Canadian tax law requires.
  • Diagnostic logs — kept for a short period, typically under 90 days.
  • Backups — deleted content may persist in backups for up to 14 days before those backups are rotated out.

7. How it is protected

  • Traffic to and from the service is encrypted in transit (HTTPS).
  • Stored data is encrypted at rest.
  • Intake responses containing personal details are additionally encrypted field by field, so they are unreadable in the database without a separate key.
  • Passwords are stored only as one-way hashes.
  • Optional multi-factor authentication by email.
  • Access to production systems is limited to those who need it.

No service can promise perfect security. If a breach affects your personal information, we will notify you and the relevant authorities as the law requires.

8. Your rights

Under Canadian privacy law (PIPEDA), and depending on where you live under other laws too, you can ask us to:

  • Tell you what personal information we hold about you.
  • Correct it if it is wrong.
  • Delete it.
  • Give you a copy in a portable form.
  • Stop sending you marketing email — every marketing message has an unsubscribe link, and service email about your account continues regardless.
  • Withdraw your consent, though this may mean we can no longer provide the service.

Email info@professionaldrafter.com and we will respond within 30 days. If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada.

9. Cookies and analytics

  • Essential cookies keep you signed in and protect forms against cross-site request forgery. The service does not work without them.
  • An attribution cookie records how you first reached us — the referring site and campaign — and lasts up to 90 days.
  • Google Analytics collects usage statistics, including your IP address and pages visited. You can opt out with Google's browser add-on.

10. Children

The service is for professional use and is not directed at anyone under 18. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.

11. Changes to this policy

We may update this policy. If the changes are significant we will tell you by email or by a notice in the service before they take effect. Continuing to use the service after that means you accept the updated policy.
